Licensed Transaction Coordinator

Required Qualifications
  • Active Illinois Real Estate License (required)
  • Minimum 2+ years of experience as a Real Estate Transaction Coordinator or in a similar role
  • Strong knowledge of the Illinois real estate contract process, disclosures, timelines, and compliance requirements
  • Experience managing multiple transactions simultaneously while meeting strict deadlines
  • Proficiency with MLS, electronic signature platforms (DocuSign or similar), and transaction management systems
  • High level of attention to detail with excellent organizational skills
  • Strong written and verbal communication skills
  • Ability to work independently while collaborating closely with agents, clients, attorneys, lenders, and title companies 
  • Ability to work evenings and weekends for showings and open houses.
Core Responsibilities & Skills
  • Coordinate all aspects of real estate transactions from contract to close
  • Ensure all contracts, addendums, disclosures, and documents are complete, accurate, and compliant
  • Track and manage critical deadlines including inspections, attorney review, financing, appraisal, and closing
  • Maintain clear and proactive communication with buyers, sellers, agents, attorneys, lenders, and title companies
  • Upload, organize, and maintain transaction files in accordance with brokerage and state requirements
  • Provide exceptional client service with professionalism
  • Identify and resolve potential issues before they become delays or problems
  • Support a fast-paced, high-volume real estate business with efficiency and accuracy

  • Experience working with a top-producing or high-volume agent/team
  • Strong problem-solving mindset with the ability to stay calm under pressure
  • Tech-savvy with the ability to learn new systems quickly
  • Availability during standard business hours with flexibility as needed for showing and open house help.
